True North Africa is hiring a SARISSA – Assistant Invoice Dispatch Clerk with the following key duties and responsibilities;

Reports To: Head of Credit Control
Location: Kampala, Uganda

Internal Direct Collaborators

Internal:

  • Finance Department
  • Heads of Departments / Operations
  • Interactivity with the Accounting System

External:

  • Couriers
  • Credit Control Team

Job Purpose & Main Mission

  • Live tracking of all customer invoices issued by any department
  • Tracking and filing proofs of dispatch for all customer invoices
  • Providing statistics on speed of dispatch:
    • Custom invoices – 24 hours
    • Services invoices – 48 hours
  • Improving collection before due date
  • Sending daily and weekly reminders to operational departments for invoices not received by SARISSA team
  • Uploading PODs in SARISSA software, retrieval, and filing hard copies

Responsibilities

  • Remind COMs & HODs every two (2) days on invoices not dispatched to the Finance Department
  • Ensure all invoices and dispatch notes are stamped before dispatch to clients via couriers
  • Accurately and timely upload invoices onto dispatch notes before delivery to courier
  • Ensure prompt return of PODs by courier and immediate transmission into the system
  • Ensure transmission of POD invoices dispatched via email to clients by credit controllers & operations
  • Generate invoice tracking reports every Monday, Wednesday, and Friday to respective departments
  • Transmit DN to all messengers and ensure daily invoice reconciliation with courier on pending dispatch notes
  • Track and update messengers (overseas and international)
  • Follow up PODs from all messengers and file hard copies
  • Support all departments on POD and invoice retrieval from archives
  • Perform any other duties as assigned by the supervisor
