About the Job:
Q-Sourcing Limited, trading as Q-Sourcing Servtec, is a manpower management solutions firm operating across East Africa in Uganda, Kenya, Tanzania, Rwanda, and South Sudan. On behalf of our client, TOTAL ENERGIES, we are looking for a competent, skilled, and experienced HR Assistant to join the team in Kampala.
Reports To: Human Resource & Administration Director
Key Responsibilities:
- Update HR reporting tools, including weekly reports, dashboards, and organization charts.
- Review documents for correct spelling, grammar, and adherence to company format policies; recommend revisions as needed.
- Answer phones, provide information to callers, take messages, or transfer calls appropriately.
- Complete forms in accordance with company procedures and policies.
- Set up and maintain paper and electronic filing systems for records and correspondence.
- Follow up and update the department’s vacation planning.
- Arrange conferences, meetings, and travel reservations for department personnel.
- Compose, type, and distribute meeting notes, routine correspondence, and reports.
- Greet visitors and callers, handle inquiries, and direct them to the appropriate persons.
- Manage scheduling, appointments, and event calendars for the HR Manager.
- Process incoming mail, prepare routine responses, and maintain inventory and supply records.
Talent Development Support:
- Assist in the launch of communication initiatives and preparation of documents for international assignments.
- Support the preparation of appointment memos for managers and provide data management and reporting.
Interfaces:
- Liaise with HRIS for staff data updates.
- Follow up on visa status for staff on international assignments.
- Coordinate documentation for various HR processes.
Accountabilities:
- Ensure smooth running of department activities and provide support to the Human Resources and Administration Director and Talent Developers.
Qualifications and Competencies:
- Bachelor’s degree in Human Resources or any related field.
- 3-5 years of relevant experience.
- High proficiency in Microsoft Office tools, including Excel, Word, and PowerPoint.
- Strong skills in data analysis and reporting.
- Excellent communication and interpersonal skills.
- Knowledge of local labor markets, employment law, and general oil & gas operations.
- Good organizational and computer skills.
