Description
Vi Agroforestry is hiring a Driver & Admin Assistant to ensure passengers are driven safely and comfortably to approved destinations while maintaining the vehicle in optimal working condition. The role works under the supervision of the Finance and Administration Manager.
General Responsibilities
- Promote and support the interest of Vi Agroforestry.
- Be committed to and contribute to the fulfillment of the Vi Agroforestry Strategy.
- Ensure and promote a rights-based approach in all activities.
- Ensure adherence to Vi Agroforestry policies, guidelines, operating procedures, and workplans.
- Ensure compliance with donor requirements.
- Ensure high quality in all activities.
- Be committed to fighting corruption and fraud, always reporting any suspicions.
- Ensure gender is mainstreamed and Gender Transformation is promoted in all operations.
- Keep abreast with developments in your area of responsibility.
- Liaise with partner organizations, researchers, and other relevant stakeholders.
- Contribute to effective cooperation between staff in the global organization.
- Contribute to a healthy work environment at the workplace.
- Support teamwork and assist each other as needs arise.
- Upon request from the manager, fulfill other tasks at the country office, regional office, or department level.
- Keep your manager updated on opportunities, challenges, and progress on assignments, informing them well in advance if deadlines cannot be met.
- Contribute to the development and implementation of risk management plans, workplans, and budgets for the office.
Key Responsibilities
- Ensure driving regulations and safety measures are always adhered to.
- Provide various driving and messenger services.
- Provide transportation services to all levels of staff members and visitors.
- Ensure vehicles are maintained in a clean and roadworthy condition prior to and after use.
- Maintain records for vehicles, log official trips, and record daily mileage, fuel cards, and receipts.
- Ensure the assigned vehicle is compliant with the vehicle and transport guideline.
- Ensure availability of all required documents/supplies, including vehicle insurance, registration, logs, first aid kit, and necessary spare parts.
- Ensure the vehicle is serviced regularly as stipulated in the vehicle and transport guideline.
- Report any defects, faults, or problems encountered to the mechanic and follow up on remedial action.
- Timely submit monthly records of vehicle mileage as per the vehicle report template to the Finance Manager.
- Always observe occupational safety and health measures.
- Provide first aid in case of emergencies.
- Photocopy, sort, and file all relevant documents.
- Pick up, sign for, and distribute all mails and packages received.
- Occasionally coordinate and supervise work by service providers.
Required Qualifications
Education Level
- Secondary education (minimum).
- Tertiary education is an added advantage.
- Holder of an up-to-date driving license.
Other Professional Qualifications
- Knowledgeable on safety and security.
- Good knowledge of first aid.
- Good customer service and communication skills (essential).
- Basic administration/IT skills (data entry, internet research, email, and scheduling software).
- Impeccable driving record.
- Flexible with working hours (occasional shift working).
- Good team worker.
- Knowledge of Kampala and Uganda in general.
- Good knowledge of defensive and safe driving.
- Added Advantage: A-level qualification with Level II of Automotive Mechanics and a Certificate in any of the following areas:
- Mechanical Engineering
- Procurement and Logistics Management
- Human Resources Management
- Counseling/Psychology
Work Experience
- At least 5 years’ experience in driving at International Non-Governmental Organizations (INGOs).
